Student Travel Registration

At the direction of the President’s Office, all campuses in the UMass Chan system are implementing a new online travel registration tool called Terra Dotta. Terra Dotta is not a travel reservation tool; it will be used by all faculty, staff and students at the 3 graduate schools at UMass Chan to capture traveler destination and emergency contact information and enable the campus to account for and locate travelers in the case of an emergency or incident. Pre-travel registration is a requirement of University policy T92-031 (Appendix B).

Beginning May 7, 2018, pre-travel registration in Terra Dotta will be required for all domestic and international travel that is related to an educational activity, including in-state overnight travel. Terra Dotta will replace the international travel registration process and paper pre-travel authorization form currently in use. Medical Students in the 4th year who are traveling for residency interviews are not required to register, as this travel is not considered school business; rather it is considered personal travel. Travel to scientific conferences, meetings, seminars, or any other educational activity related to your status as a student will need to be registered.  If you have questions about whether your travel should be registered in Terra Dotta, please check the Travel Registry intranet site or speak with your Student Affairs staff.

International Support Services will continue to review and support all international travel from a risk management perspective. Using their existing campus login credentials, UMass Chan students from each of the three graduate schools will register and modify their travel plans within Terra Dotta. Departments may also assign proxy users to register travel on behalf of travelers. Importantly, Terra Dotta assigns a registration number for each trip, which will be needed when submitting an expense report for reimbursement.

Effective May 7, all school-related domestic, international and in-state overnight travel must be pre-registered within Terra Dotta. All pre-travel registrations that have been completed for trips occurring after July 1, 2018, will need to be registered in Terra Dotta. This online tool only captures travel plans and contact information; it does not reserve or book travel.
