Student Travel Process

At the direction of the President’s Office, all campuses in the UMass system have implemented a new online travel and expense system, called Concur. Concur has replaced Terra Dotta. The Concur Request module allows users to submit requests for Pre-Travel Authorization as well as Prior-Approval and Expense Exceptions for items out of policy. 

The new University Travel Policy,  University Travel Policy and associated standards, requires all University Travel, both domestic and international, be pre-approved and registered in the University Travel Registry.  

Pre-travel approval in Concur will be required for all domestic and international travel that is related to an educational activity, including in-state overnight travel.  Medical Students in the 4th year who are traveling for residency interviews are not required to register, as this travel is not considered school business; rather it is considered personal travel. Travel to scientific conferences, meetings, seminars, or any other educational activity related to your status as a student will need to be pre-approved and registered.

International Support Services will continue to review and support all international travel from a risk management perspective. Using their existing campus login credentials, UMass Chan students from each of the three graduate schools will submit travel requests and modify their travel plans within Concur. Departments may also assign proxy users to register travel on behalf of travelers. Importantly, Concur assigns an ID number for each trip, which will be needed when submitting an expense report for reimbursement.
