Patient Recruitment Services

Patient recruitment delays and low-retention rates are key factors in increasing development costs. To optimize both recruitment and retention, there needs to be a plan based on evidence, data, and a set of tools that will work. A data-driven approach to patient recruitment is based on data from electronic health records, patient databases containing anonymized health data, demographic and epidemiological data, historical clinical trial data and secondary data.

  • Customized Data Extraction
    The Research Informatics Core (RIC) offers custom services for study feasibility and cohort identification by extracting data directly from the Electronic Health Record (EHR) data hosted in UMass Chan Data Lake. Please contact us for more information.

  • Real-time Patient Recruitment Services
    Recruitment to clinical trials can be challenging, especially when clinical trial teams are trying to identify potential participants in “real-time” in clinical settings. Leveraging the Electronic Health Records system, our research informatics team developed the "Just-in-Time Alert" (JITA) application, which receives Admit-Discharge-Transfer (ADT) HL7 messages from the EHR, processes those messages, and alerts clinical trial teams of potential participants. After receiving an alert, the study team can approach and discuss the study with patients while still in the clinic or hospital. Please contact us for more information.
