Center for Academic Achievement Privacy Practices: How the CAA may share information

The CAA is a safe place for students to share sensitive information. Our goal is to help all learners achieve the most comprehensive and meaningful educational experience possible. 

What might be shared?

  • General information: A summary of information from your sessions with the CAA may be shared.  Information may be shared if it is relevant to your academic performance.  For example, the CAA may share that you are working on study strategies, communication, problem solving, attention, or organization. We may provide some techniques to help students with this concern.
  • Personal information: Information related to personal concerns may be shared in a general sense if they are relevant to educational performance.  Details related to the situation will not be shared without the student’s agreement.  Diagnoses, medical intervention, private family matters, and similar situations will not be disclosed unless the student agrees to the communication.  For example, the CAA may share that the student is having difficulty focusing on academic work because of some stressors, and is receiving assistance to address these concerns.

With whom might the CAA communicate information related to a student’s sessions?

  • Faculty members with a “need to know” may receive information from the CAA. Examples of such faculty include, but are not necessarily limited to, mentors, other CAA faculty, Course Leaders, Basic Science Academic Evaluation Board members, and Clinical Science Academic Evaluation Board members. The purpose of these communications is to be helpful to the student.
  • Tutors: If you receive tutoring services through the CAA we may share learning information that will help the tutor better assist you.  In some cases the tutor may be a student. Examples of such information include, but are not limited to: specific topics that are challenging for you, time management concerns, and your specific learning goals and objectives.
  • Students: The CAA will not communicate information related to individual sessions to other students.  If you participate in a group session then you are consenting to the information you share during the meeting to be shared with the other students, but the CAA staff will not reveal information in addition to what you relay at the meeting.
  • Harm to self or others: The CAA will inform the appropriate people if they believe you are a harm to self or others according to rules of confidentiality.
  • Student Counseling Services or Student Health Services: Information may only be shared with a release signed by the student.

How may the CAA obtain information?

  • Those with whom we share information may in return share information with the CAA.  You should be familiar with the privacy policies of other departments as well as FERPA.  The CAA may access course/clerkship grades, standardized test scores, and other information deemed important to address your concern.

When does the CAA NOT share information?

  • In general, if you are a student who is passing everything and has NOT been requested by faculty to utilize the services of the CAA then no information is going to be shared. Some students are passing but feel that they would like to learn more skills or improve on something. In these situations there is no need to share information with others.

Does the CAA grade student performance?

  • If you are enrolled in a CAA led CSE or an Independent Study (IS) course the CAA staff member leading the course will submit a credit/no credit grade.  This grade is not impacted by CAA meetings related to academic enrichment services.  If you are enrolled in a CSE or IS course you may still receive academic enrichment services from someone not involved in the grading for the CSE or IS.
