Promotion Process

Process for promoting faculty in the School of Medicine (SoM); in the Graduate School of Nursing (GSN) the candidate's basic file is reviewed by the school PAC and Dean.


The promotion process involves review of a faculty member's academic achievements by both faculty committees and administrators (Chair, Dean). Faculty to be reviewed for promotion provide the following materials to their department:

  • a current Curriculum Vitae: see here for information on preparing an effective CV.
  • a list of potential internal and external Referees: see here for guidelines on reference letters.
  • evidence of Teaching Effectiveness: see here for more information.
  • an optional Narrative Statement: see here for more information.

The steps involved in the promotion process in the SoM are as follows (see flowchart above):

  1. The candidate provides department with the materials listed above. The list of referees is reviewed by the department chair.
  2. The department solicits reference letters, which are added to the candidate's file.
  3. The candidate's file is reviewed by the Departmental Personnel Action Committee (DPAC), which submits a letter of review to the department chair; the DPAC letter is added to the candidate's file.
  4. The department chair writes a letter of evaluation, which is added to the candidate's file ("basic file").
  5. These materials are reviewed by the Office of Faculty Affairs for completeness.
  6. The SoM Personnel Action Committee (PAC) reviews the candidate's materials and submits a recommendation for approval by the Executive Council and Dean.

The steps involved in the approval process in the GSN are as follows:

  1. The candidate provides the school with CV and a list of referees; this list will be reviewed by the Associate Dean for Academic Affairs.
  2. The school solicits reference letters, which are added to the candidate's file. 
  3. The school requests the appropriate, original transcripts and copies of any current certifications.
  4. These materials are reviewed by the Office of Faculty Affairs for completeness. 
  5. The GSN Personnel Action Committee (PAC) reviews the package and submits a recommendation for approval by the Executive Council and Dean.

Faculty should consult their department administrator for more information about the DPAC and promotion process within the department. The membership of the SoM PAC is listed here (UMMS intranet site: password required).
